Providing information to the CEATEC JAPAN 2004 News Center
The CEATEC JAPAN 2004 News Center includes dedicated writers and editors who collect information on exhibits, write effective articles and dispatch this information to potential visitors, industry people and the mass media. This information is also released through the CEATEC JAPAN Web Magazine and e-mail news sent to visitors to previous exhibitions.
Exhibitor information is distributed more rapidly, and to a wider target audience to boost exhibition anticipation. Other relevant information is disclosed in a timely fashion in line with the CEATEC JAPAN 2004 promotional schedule. A wide variety of news and information will be released in 2004, prepared from the unique viewpoint of CEATEC JAPAN and based on precise information analysis by our staff of professional reporters.

2. Exhibitor information on the CEATEC JAPAN Web Site
Detailed and up-to-date information about exhibitors, seminars and other topics is being presented on the CEATEC JAPAN website (www.ceatec.com). Last year, this site achieved 110,314,000 accesses. The website is accessed not only by exhibition visitors, but also by industry people and the media.

Exhibitor Introduction Pages on the website are provided for exhibitors to input information about their companies, products and other topics of interest to visitors.

(1) Advantages of Exhibitor Introduction Page
1. Providing exhibitor information not only helps get visitors to your booth, but also exposes information that cannot be displayed in booths to a worldwide audience
2. Potential visitors who cannot attend can receive information through the CEATEC JAPAN website

3. Contents of the Exhibitor Introduction Page are categorized by product category and also searchable. The more information exhibitors input, the higher the potential for exposure. Expect more results than simple website links can provide by inputting a high volume of information.
4. In-booth event information, as well as press releases covering topics other than product information can be inserted in the exhibitor introduction page, helping draw visitors to booths and create a visitor database for use in pre- and post-exhibition promotions
5. Significant improvements have been made to simplify usage of the Exhibitor Introduction Page, such as information visibility and impact, and usability as tool to dispatch information

(2) How to log onto Exclusive Exhibitor Pages
Each exhibitor is provided with an exclusive information page, and issued an ID number and password making it possible to upload text and other materials to the CEATEC JAPAN website. In addition to the exhibitor data input/update system, Exclusive Exhibitor Pages will be used to provide information useful to exhibitors. It will open for the exhibitors from Tuesday, July 6.

Information you input on the English-language page will be printed in the English Guidebook distributed to overseas visitors at the exhibition site. Please be sure to input this data by August 20. English web pages are viewed primarily by people outside Japan, who do not have browsers capable of displaying 2-byte text characters. For this reason, exhibitors are encouraged to use only 1-byte text characters when inputting information onto English input pages.

1. Access the CEATEC JAPAN URL (www.ceatec.com), and then select the language in which you wish to input data: “” (for Japanese) or English. (General information pages are available in other languages, but exhibitor data can be input in Japanese and English only)

Tip 2: Correspondence with Media
1. On-site Press Center
Many members of the media are expected to attend the exhibition this year. In 2003, more than 1,700 media representatives attended. CEATEC JAPAN 2004 will set up a Press Center on-site, providing various services and information to members of the media.

  3. Equipment: Desks, PCs (English & Japanese with Internet connections), copier, fax machine, telephone, Internet connections via analog telephone line or ADSL (modem and dial-up accounts required for analog connection; LAN cards and cables required for ADSL connection)

  5. Information Provided: Sponsor comments and press releases, exhibitor press releases, event summaries, comprehensive event information pamphlets, sponsor-related data, special exhibition-related data, conference-related data, event attendance reports, photos from events, etc.

The Management Committee is actively distributing news about CEATEC JAPAN to the media. Included is information on exhibitors’ products and technologies in the form of press releases. Each exhibitor is requested to contribute to this effort by providing the following information:
  1. Format: No particular format requirements. Exhibitors can use their own press releases and press kits. Promotional videos and CD-ROMs and other giveaways in addition to press releases can also be placed.
  2. Content: Press releases should include the exhibiting company’s name, exhibition Stage/Zone, booth number, and address and telephone number for inquiries.
  3. Number of Copies:
    • Japanese: 100 copies
    • English: 20 copies
  4. Submission Deadline and Address
  5. Submit press releases to Inter MEDICOM by September 28. After this date, press releases should be brought directly to the on-site Press Center by the morning of October 4.

    Invoices will be issued by, and payment made directly to the Japan Electronics Show Association (CEATEC JAPAN Management Office)

  4. How to apply: Submit the Application for Press Bag Sponsorship (Form H) and send it to the Management Office. Applications will be accepted from July 5.

CEATEC JAPAN will collaborate with Business Wire to deploy the Online Press Center, the official global online press office and news distribution service for CEATEC JAPAN 2004.

Business Wire, a leading U. S. press release distribution service company, has its own multichannel delivery network, with access to approximately 6,000 international and national news agencies, financial information providers, and web-based news services throughout North America, Europe, Asia, Latin America, the Middle East and Africa. This network ensures real-time, simultaneous access to key audiences, including news media, trade publications, institutional and individual investors, business-to-business decision-makers and consumers. Business Wire electronically disseminates some 270,000 news releases a year, 71% of which are re-sent by Dow Jones, and introduced in the New York Times, Washington Post and Financial Times, and on CNN. Exhibitors have access to this wire service at the CEATEC JAPAN 2004.

    Distributed press releases will automatically be inserted into the CEATEC JAPAN Online Press Center, a portal site for media worldwide. In addition to a press release, exhibitors can post up to 2 documents (in MS Word, PDF or html formats; file sizes up to 1MB).
    Note: Translation of Japanese-language press releases into English is available on request for a fee of ¥10,500 per page (A4 size, including tax).

Tip 3: Communicate with Sales Managers and Executives
1. Participate in Premiere Time
  1. Outline
    1. Schedule: October 5, 10:00 a.m. - 12:00 p.m.
    2. Location: CEATEC JAPAN 2004 Exhibition Halls
    3. Target Visitors: Representatives of exhibiting companies, the press and supporting/assisting organizations, and invited guests of exhibitors
  2. Invitations
    Premiere Time invitations are valid throughout Premiere Time and may also be used to enter the exhibition free of charge on any other day during the exhibition. The Management Office will distribute 20 sets of invitations, exhibition announcement leaflets and envelopes per booth, free of charge, on August 19 (planned).
  3. Guests of the Management Office
    Guests invited by the Management Office will include Opening Reception guests, representatives of supporting/assisting organizations and members of the press.
  4. Responding to the press
    Press representatives will visit the site during Premiere Time in line with their coverage of the Opening Reception. Exhibitors are encouraged to take full advantage of this opportunity, for example, by ensuring that public relations representatives are available in booths during Premiere Time.

2. Participate in Opening Reception

  1. Time: October 5, 12:00 p.m.–1:30 p.m.
  2. Location: Tsuru Room, Hotel New Otani, Makuhari
  3. Guest Registration: Only guests pre-registered by exhibitors may attend the Opening Reception. In addition to the CEO or other senior representative of each exhibiting company, each exhibitor is entitled to one invitation. Exhibitors are requested to inform the Management Office as soon as possible if there are any changes in information on their exhibitor application form. If your company is to be represented by a senior executive who is not the CEO, please register his or her name in advance. Registrations are accepted by e-mail. The registration sheet (in Excel format) will be delivered in mid-July by e-mail. Exhibitors who cannot return this sheet by e-mail may register by submitting the Opening Reception Registration Form (Form G) to the Management Office by July 30.

Tip 4: customer relations
1. Invitations and leaflets
(1) Invitations
Invitations are distributed free of charge. The number of invitations each exhibitor receives is based on the number of booth spaces applied for. Invitations are available in Japanese and English, so please specify the preferred number of each type when applying. Please include the appropriate number of invitations when sending announcements to your guests. Invitations over the numbers allotted are available for ¥300 per invitation (including consumption tax). Be sure to inform your guests that they will be requested to register at the exhibition entrance even if they carry an invitation.

(2) Leaflets and matching envelopes
Sets of envelopes and leaflets outlining CEATEC JAPAN 2004 (four colors, in Japanese and English) will be delivered to exhibitors for a fee of ¥50 (including consumption tax) per set. The leaflets contain information about exhibitors, Conference programs, special exhibits, transportation to the exhibition site and features of each stage.

(3) How to Order
Both free invitations and leaflet/envelope sets must be ordered in the language preferred. To order, fill in the Application for Exhibition Invitations and Leaflet/Envelope Set (Form E), and submit it to the CEATEC JAPAN Management Office by July 15, 2004. An invoice (as applicable) will be issued by the Japan Electronics Show Association on behalf of the Management Office, to whom payment should be made.
Note: Exhibitors are required to submit this application even for free invitations.
(4) Delivery
Invitations and leaflet/envelope sets ordered before July 18 will be delivered to exhibitors on August 19.

2. Barcode system for visitor registration
A barcode system will be used to register visitors. All visitors are required to carry an entry pass printed with a barcode while inside the exhibition grounds. Barcode readers in every booth allow exhibitors to read these barcodes and gather data about visitors. In addition, by using the Exhibitor’s Survey Code List, this system can also be used to gather visitor data specific to your exhibit.

Sample: By combining responses such as “01: Company brochure desired” with probable visitor data into ID numbers, this data can be reflected after the exhibition. The data returned to the exhibitor will be displayed by survey code on the ID number.

(1) Barcode system advantages

  1. No need to manually record visitor information during the exhibition or to input business card contents afterwards.
  2. Information on visitor questionnaires will be included in the data supplied a week after the exhibition (by October 13). It can immediately used for post-exhibition sales activities.
  3. In addition to receiving ID data, exhibitors can use the Exhibitor’s Survey Code List to obtain data to create databases of individual categories and information on the interest visitors showed in individual products for quick reflection in marketing activities.
  4. Visitor data is digitized, and the system itself is ongoing, allowing exhibitors to execute original database marketing activities, including the calculation of visitor statistics and visitor background management.
  5. Exhibitors’ original questionnaires may be linked to this system with additional fees. The details will be discussed upon request.
(2) Barcode data delivery and system usage fees
  1. The basic fee for using the barcode system with the standard delivery option (including system usage, 1 barcode reader rental, data processing of up to 3,000 entries and delivery by CD-ROM after the exhibition) will be ¥31,500 (including tax).
  2. Each barcode reader can store up to 3,000 visitor data entries. The cost of data processing is included in the basic fee.
  3. Multiple barcode readers can be ordered at the following discount rates:

Note: An invoice for barcode system usage fees will be issued after the exhibition by Inter MEDICOM, the cashier agency for the Management Office, to whom said charges should be paid.

(3) Data Download Center
Same-day data delivery after the exhibition closes each day
Data Download Center
Data Download Center will be set up at CEATEC JAPAN 2004 site.

Data on pre-registrants who have visited an exhibitor’s booth on a specific day will be handed out on the spot if the exhibitor brings the barcode reader(s) after the doors close each day. Data on on-site registrants will be delivered on October 13 for free. With the barcode system, exhibitors can check which customers have not yet visited the booth and contact them.

Note: Depending on how many exhibitors ask for same-day data delivery, exhibitors may be requested to wait.

(4) Exhibitor’s Survey Code List
One copy of the Exhibitor’s Survey Code List will be provided per user of the barcode system prior to the exhibition. This is an A4-size sheet of paper that allows exhibitors to assign 20 information codes specific to their exhibits. For example, the list can be used to create codes for surveys that visitors fill out in booths, or to assign codes to catalogs and other publications distributed to visitors. After the exhibition concludes, data from barcode readers will be tabulated according to individual exhibitors’ code lists to provide customized data, in addition to data about the exhibition as a whole.

(5) How to order
To use the barcode system (and rent additional barcode readers) submit the Application for Visitor Barcode Service (Form 21) in the CEATEC JAPAN 2004 Operation Manual and send it to Neonet Inc. by September 17.

    2. Promotion: The Management Office promotes seminars via the following means:
      1. Publishing seminar titles and lecturer names in the exhibition leaflet
      2. Publishing seminar titles and lecturer names on the CEATEC JAPAN website
      3. Publishing programs as the occasion arises, particularly when publishing exhibition ads
      4. Announcements to the press.
        1. Pre-registration: Each seminar site has a seating capacity of 50. Within this limit, the Management Office will accept and pre-register attendees from the general public (excluding the presenting exhibitor’s invited guests). Applications for attendance will be accepted in advance via the CEATEC JAPAN website.
        2. Same-day application: Depending on space availability, applications may be accepted on the day of the seminar.
        3. Audience data: The exhibitor will be provided with a barcode reader to record visitor data at the reception desk for each seminar. Audience data and categories will be reported within a week of the exhibition’s conclusion.
  6. Timetable: Each seminar should last 60 minutes. The schedule is as follows:
